Guest messages don't wait for business hours. This page covers what the AI Guest Concierge actually does, who it's built for, and exactly where a human still has to take over.
Who this is built for
Three kinds of operations, each with a different shape of the same problem.
- Boutique hotels with a small front desk team that can't staff a phone or inbox 24 hours a day, where the same handful of guest questions repeat every single day.
- Premium villa clusters juggling several properties' calendars, cleaning schedules, and arrival logistics at once, where a missed message at midnight can mean a guest books the villa down the road instead.
- Short-term rental management companies running dozens of listings across channels, where the volume of repetitive messages (Wi-Fi passwords, check-in codes, parking) is the actual bottleneck, not a lack of staff willingness.
All three lose bookings and staff hours to the same root cause: guest messages sit unanswered for hours because a human hasn't checked the inbox yet, not because the answer was hard to give.
What the AI Guest Concierge actually does
It's one agent, not a set of canned replies. That distinction matters: a scripted chatbot answers the questions its author anticipated and fails silently on everything else. An agent with tools can look something up, decide what it's confident about, and decide what it isn't.
- Message intake across channels. WhatsApp, Instagram DM, and your website widget feed into the same agent, so a guest gets one consistent standard of answer regardless of where they message.
- Real availability, not a guess. The agent checks your PMS before answering a booking question, so "is the villa free next weekend" gets a real answer instead of "let me check and get back to you."
- Property knowledge. Check-in and check-out rules, Wi-Fi, amenities, local recommendations: the questions that repeat daily, answered the same way every time, correctly, at 2am as much as 2pm.
- Booking creation and lookup. Confirmed availability turns into something your front desk actually sees the next morning, in the same system you already use.
- Escalation, by design. The moment a request touches money, an exception, or genuine judgment, it goes to a person. This isn't a fallback for when the agent gets confused; it's a deliberate part of the system from the first version.
PMS and channel integrations
The concierge is built to sync with the property management systems already common across Greek and international hospitality operators: WebHotelier, Guesty, and Hostaway. Being synced means two things in practice: the agent reads your real, current availability before answering, and any booking it helps create writes back into the same system your staff already work from, instead of living in a separate tool nobody checks.
Each integration is documented in full, endpoint by endpoint: WebHotelier, Guesty, Hostaway. The underlying pattern (check availability, look up or create a booking, escalate what needs a person) stays the same across all three; only the specific API calls change.
What a guest conversation actually looks like
Hi! We're a group of 6, is early check-in possible tomorrow? We land at 10am.
Standard check-in is 15:00. I've flagged your early-arrival request to the property team: they'll confirm by tomorrow morning whether it's possible, depending on the outgoing guest's departure time.
Illustrative example, not a real guest conversation.
Notice what the agent didn't do: it didn't promise an early check-in it can't guarantee, and it didn't make the guest wait for an answer it could give immediately. Standard check-in time, answered instantly. The actual judgment call, handed to a person who can see the full picture.
Where a human still needs to be in the loop
Payment disputes, cancellation exceptions, complaints, and anything genuinely ambiguous go to staff, regardless of which PMS is behind the system. An agent that tries to resolve those on its own isn't more capable, it's just making decisions it doesn't have the authority or context to make well. The escalation path is what makes the rest of the system trustworthy enough to run unattended overnight.
Where this stands today. The AI Guest Concierge is a tested, working demo, built and documented end to end. It hasn't run a live season for a paying client yet, and I'd rather say that plainly than let a realistic-looking example imply otherwise. Read more on the About page.
